1. Who we are
Cosil Solutions Limited is the controller responsible for personal data collected through this website and in connection with our UK consultancy and mediation services.
Cosil Solutions Limited, company number 13008653, registered office: 27 Old Gloucester Street, London WC1N 3AX.
Email: admin@cosilsolutions.co.uk
Telephone: 07587 065 611
Enquiries concerning the Grenada practice should be sent to admin@cosilsolutions.com. If a Grenada engagement proceeds, the engagement documents will identify the relevant contracting entity and explain how personal data relating to that engagement is handled.
2. Personal data we collect
We may collect names, contact details, organisation and role information, enquiry and appointment details, correspondence, payment and transaction information, and information supplied in connection with a complaint, dispute, mediation or consultancy engagement. We may also collect technical and usage data, including IP address, browser and device information, pages visited and cookie preferences.
Please do not send confidential or extensive case documents through the initial enquiry form. We will provide an appropriate method for documents if the matter proceeds.
3. How we collect personal data
We collect personal data directly from you when you contact us, submit a form, book a consultation, enter into an engagement, make a payment or correspond with us. We may also receive information from an organisation, professional adviser, another participant in a matter, publicly available sources or service providers acting on our behalf.
4. Why we use personal data and our lawful bases
- To respond to enquiries, assess suitability and take steps requested before an engagement. The lawful bases are steps before a contract and legitimate interests.
- To provide consultancy, mediation and related services, manage appointments, payments and records. The lawful bases are contract, legitimate interests and legal obligation.
- To manage conflicts, complaints, professional standards, safeguarding, fraud prevention and legal claims. The lawful bases are legitimate interests and legal obligation.
- To operate, secure and improve the website and understand its use. The lawful bases are legitimate interests and, for non-essential cookies or similar technologies, consent.
- To send marketing communications where permitted. The lawful basis is consent or legitimate interests, depending on the circumstances. You can opt out at any time.
Where information reveals special-category data or criminal-offence information, we will only process it where an additional lawful condition applies and the information is necessary for the matter.
5. Sharing personal data
We may share personal data where necessary with hosting, IT, email, booking, payment, analytics and document-management providers; insurers and professional advisers; mediators or experts involved in an agreed process; regulators, courts, law-enforcement bodies or public authorities where required; and a purchaser or successor in connection with a business transfer. We do not sell personal data.
6. International transfers
Some service providers or participants may be outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, we use an approved transfer mechanism or another lawful exception. Cross-border UK and Grenada matters may necessarily involve information being shared between the relevant locations, subject to the engagement arrangements and applicable safeguards.
7. Retention
We retain enquiry records for up to two years after the last meaningful contact unless an engagement proceeds. Engagement, payment, complaint and professional-practice records are normally retained for up to six years after the matter closes, or longer where required by law, insurance, professional standards or an active dispute. Cookie and analytics retention is described in the Cookie Policy. We may retain a limited suppression record to respect an opt-out request.
8. Security
We use proportionate technical and organisational safeguards. No internet transmission is completely secure, so confidential or extensive documents should only be supplied using the method agreed for the engagement.
9. Your rights
Depending on the circumstances, you may have rights to be informed, access your data, correct inaccurate data, request erasure or restriction, object to processing, receive portable data and withdraw consent. You also have rights concerning solely automated decisions. We do not use solely automated decision-making to decide whether to accept or determine a matter.
To exercise a right, contact admin@cosilsolutions.co.uk. We may need to verify your identity.
10. Complaints to the ICO
Please contact us first if you have concerns. You may also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
11. Cookies and external links
Our use of cookies and similar technologies is explained in the Cookie Policy. This website may link to third-party websites. Their privacy practices are their responsibility.
12. Changes
We may update this policy to reflect changes in our services, technology or legal obligations. The latest version will be published on this page with its revision date.
